ASHFIELD GROUP LTD

Opus — Privacy Policy

Last updated 24 October 2026

Opus is the system Ashfield Group Ltd uses to run its construction projects, including the Opus mobile app for iPhone, iPad and Android. It is used by our own staff and by subcontractors working on our projects. It is not a consumer product and is not available to the general public.

Accounts are created by Ashfield Group. You cannot sign yourself up, and the app has no public or guest mode.

This policy covers Opus and the Opus app. Our website is covered separately by the Ashfield Group website privacy policy.

Who is responsible

Ashfield Group Ltd is the data controller for the personal data described here. Our contact details are at the end of this policy.

What we collect

Your account details. Your name, work email address and, where given, your mobile number. These sign you in, show who recorded each piece of work, and let us contact you about that work.

Photographs you take or choose. The app asks for camera and photo library access so you can record site conditions, completed work, defects and inspection evidence. Only photographs you actively take or select are uploaded. We do not read your photo library, and nothing is uploaded in the background.

A record of who did what. Every photograph, site audit, inspection, defect report and timesheet entry is stored against the name of the person who created it, with the date, the time and the project. This is the purpose of the system: these are records of work carried out, and they are worth nothing if we cannot say who produced them.

The work you record. Site notes, measurements, progress against programme, hours worked, and similar information you enter.

Basic technical information needed to keep the app working, such as the app version. The app does not track your location in the background and does not collect advertising identifiers.

How we use it

Solely to run Ashfield Group's projects: recording and evidencing work, managing quality and health and safety, producing reports for our clients, and administering payment for work done.

We do not use any of it for advertising or marketing, we do not profile you, and we do not sell it or share it with data brokers.

Photographs and records may be included in reports issued to the client for the project they relate to. Where a report identifies the person who recorded the work, that name may be visible to the client.

Who we share it with

Our hosting and storage providers, who process the data on our instructions and only to provide the service: Vercel (application hosting), Neon (database) and Cloudflare R2 (file and photograph storage). We use Microsoft 365 for sign-in and email. Each is bound to protect the data to the standard set out in this policy.

Data is stored in the United Kingdom and the European Economic Area.

How long we keep it

Project records, including photographs, are kept for the life of the project and afterwards for as long as we may need them to answer a claim, a defect or a warranty question about the work — normally twelve years from completion, in line with the contracts we work under.

Account details are kept while you have an account and are removed when it is closed.

Your rights

You can ask us for a copy of your personal data, ask us to correct it, ask us to delete it, or object to how we use it. Because accounts are created and closed by Ashfield Group, please make these requests to us directly rather than through the app.

Where a record forms part of the evidence of construction work, we may need to keep it for the period described above even after you leave. If that applies we will tell you, and why.
